How to Set Up a Remote ABA Billing Team
Billing is one of the most remote-ready roles in ABA. How to set up remote billers securely and manage them for results.
Billing, authorizations, credentialing and AR are screen-and-phone work. With cloud-based systems they can be done remotely without losing quality, and remote hiring widens the talent pool from one commuting radius to the whole country.
Before you go remote
- Confirm your practice-management system, clearinghouse and payer portals are cloud-based and support individual user accounts.
- Move paper out of the workflow: route faxes to a secure e-fax inbox and mail to a digital mailroom or a single scanning point.
- Take patient payments through an online portal rather than a card terminal.
- Decide who handles anything physical, such as returned mail, and how it reaches the remote team.
Security setup for a remote biller
- Device. A company-issued, encrypted laptop is best. If personal devices are allowed, require full-disk encryption, automatic updates and screen lock.
- Access. Individual accounts with multi-factor authentication. No shared logins. Access limited to what the role needs.
- Workspace. A private room where screens and calls cannot be seen or overheard.
- Data handling. No PHI in personal email, personal cloud storage or text messages. No local downloads unless required, and then only to encrypted storage.
- Offboarding. Same-day access removal and device return.
Manage output, not hours
Set weekly targets that reflect the work: claims submitted within a set number of days of service, denials worked within a set window, AR over 90 days trending down. Review them together weekly for the first two months, then every other week.
Remote doesn’t mean alone
Give remote billers a direct line to the people they depend on. A short weekly huddle with the authorization coordinator and clinical director catches documentation gaps before they become denials, and a shared chat channel answers quick questions in minutes instead of days.
Start with one role
Many practices begin with a remote AR specialist or authorization coordinator, prove out the workflow, then move claim submission and credentialing remote once the processes are documented.
